At Seneca Healthcare District, every complaint or concern submitted through the appropriate channels is taken seriously, reviewed, and addressed. We understand that patients may sometimes feel their concerns do not lead to meaningful action, and we want to assure you that all complaints are carefully evaluated as part of our commitment to quality care and continuous improvement.

What Happens When a Complaint Is Submitted?

When a complaint is received, it is reviewed by Administration. Depending on the nature, severity, and circumstances of the concern, several different actions may occur.

Administration works with the appropriate department managers to investigate the issue and determine the most appropriate response. This may include:

  • Providing coaching or education to staff members
  • Issuing corrective action or disciplinary measures when warranted
  • Reviewing and improving policies, procedures, or workflows
  • Implementing new standards or processes to help prevent similar issues from occurring in the future
  • Identifying opportunities for organizational improvement

The specific actions taken depend on the facts of each individual situation and are designed to ensure concerns are appropriately addressed.

Medical Care and Provider Concerns

If a complaint involves medical care provided by a physician or other credentialed provider, and Administration determines that additional clinical review is necessary, the concern may be referred to the Medical Staff Committee.

The Medical Staff Committee is a group of qualified healthcare providers responsible for overseeing clinical quality, patient safety, and professional standards of care within the organization. The committee reviews concerns related to medical care, evaluates the circumstances involved, and determines whether any additional steps, recommendations, education, monitoring, or corrective actions are appropriate.

This review process helps ensure that clinical concerns are evaluated by medical professionals with the expertise necessary to assess the quality and appropriateness of care provided.

Confidentiality of Personnel Matters

Patients often wish to know the outcome of their complaint. While we strive to be transparent about our processes, there are legal and ethical limitations regarding what can be shared.

When a complaint results in counseling, disciplinary action, performance improvement measures, or corrective action involving an employee or provider, those matters become confidential personnel issues. Details regarding employee or provider discipline are not shared with the public, other staff members, or complainants.

For this reason, patients may not be informed of the specific actions taken. However, a lack of detailed feedback should not be interpreted to mean that the concern was ignored or that no action occurred.

Our Goal: Continuous Improvement

The purpose of our complaint process is not only to address individual concerns but also to identify opportunities to improve the care and service we provide. Every complaint is an opportunity to learn, make changes when necessary, and reduce the likelihood of similar issues occurring in the future.

Our goal is to ensure that concerns are heard, investigated, and addressed so that your experience, as well as the experience of future patients, continues to improve.

We value patient feedback and appreciate individuals who take the time to share their concerns. Your voice helps us strengthen our services and fulfill our mission of providing safe, high-quality healthcare to our community.

Key Message: Every complaint received by Seneca Healthcare District is reviewed and addressed. While confidentiality laws may prevent us from sharing specific personnel actions, patient concerns are taken seriously and are used to improve the quality, safety, and experience of care for all patients.
